My client, a B2B SaaS startup focused on streamlining office administration, approached us to design and build a minimum viable product (MVP) for their new platform. The system needed to centralize expense tracking, document management, and subscription billing, enabling office managers to reduce manual workflows and gain clear financial oversight.

Challenges

  1. Third-party API integration: Working with Verify API for document parsing and Stripe for subscription billing.

  2. Complex expense workflows: Automating the collection, categorization, and approval of expenses submitted via email.

  3. Role-based access & security: Establishing a permission system with future scalability in mind.

  4. Data visualization: Designing an intuitive dashboard with real-time insights on company spending.

My Approach

  1. Discovery & Research

  • Client Consultation: Conducted stakeholder interviews and reviewed the client’s Miro board and SOW documentation to clarify MVP goals. Mapped user journeys for office managers and financial admins to identify pain points and define core features.

  • Competitive Analysis: Audited similar platforms in the admin/fintech space to benchmark usability and visual patterns.System Architecture & Stack

  1. UX Architecture & Wireframing

Defined the information architecture and designed wireframes for core modules:

  • Dashboard with spend analytics

  • Spend Insights for managing vendors, employees, and transactions

  • Document Management

  • Billing & Subscription

  • Feature Requests

  1. UI Design

  • Designed a clean, modern interface with a focus on clarity and task completion.

  • Included time zone-aware timestamps, easy filtering, and progressive disclosure for complex data views.

  • Developed a sidebar-based navigation for quick access to each module and embedded support (LiveChat).

  1. Handoff & Collaboration

  • Delivered responsive UI components and documentation to the dev team.

  • Participated in regular syncs to support implementation and provide UX consultation during development.

  • Collaborated on defining edge cases, states, and validation logic.

Results

The MVP launched with a focused and easy-to-use interface that simplified expense tracking across vendors, employees, and time periods. Office managers were able to reduce manual overhead significantly, with automated invoice parsing and vendor validation. My design system laid the groundwork for future scalability, with modular components and extensible architecture. The client received strong early feedback from pilot users and is preparing for post-MVP feature expansion.

Future Plans

  1. Analysis: Advanced analytics with customizable charts and spend breakdowns

  2. Continuous Enhancement: AI-powered document analysis for faster processing and classification. Adding role-based permissions and team management features.

  3. Platform Expansion: Mobile app design for on-the-go access to expenses and approvals

Conclusion

This project reflects my strength in translating complex business workflows into clean, intuitive design solutions. As the sole product designer, I defined the structure, crafted the user experience, and guided the interface through to MVP delivery — all while working hand-in-hand with a remote development team. The result is a focused, scalable product that’s ready to grow into a full-featured platform.
